Event Management - SIOG2011 & 9MSH2011: Apr 2010 - Jun 2011

Key role: Event Secretary and Project Manager

The two events above were Scientific Annual Meetings of great importance in the history of the respective societies.

SIOG - International Society of Geriatric Oncology is an European based professional oncology society which champions treatment of cancer in elderly patients. The membership of SIOG consists of oncologists from Europe, The United States and other countries throughout the world. It was the first time in SIOG history that such meeting was held in Asia. In fact, its New York Meeting for 2010 was replaced with this Asian Meeting. As such, the subsequent meeting was then pushed on to Nov 2011 in Paris, France.

MSH - Malaysian Society of Haematology is a professional society for the Health Care professionals who are involved in the research, diagnosis and treatment of blood diseases. Its annual scientific meetings had always been held in the Klang Valley, Kuala Lumpur as the majority of its members are concentrated in this Capital City of Malaysia. The 9th Annual Meeting was a biennial occasion that it had been held outside the Klang Valley.

Key Responsibilities as Event Secretary & Project Manager:

Formation of Organising Committee; Duty of Secretary to prepare for meetings and minutes; Opening of the Bank Accounts & handling with Meeting Resolutions to open A/C; Setting timeline for event milestones; Booking of Air Tickets for speakers (local and foreign) with Ticketing/Tour Agent; Liaising with Speakers on hotel accommodations; Selection of Hotel and Venue for Meeting; Coordination on Scientific Lectures and Topics with Scientific Committee; Obtaining Continual Medical Education (CME) points with Malaysian Medical Association (MMA); Branding of Event Names/Titles; Setting up Event Website and Online Registration; Design & printing of the announcements, posters, banners and fishtail-buntings; Design and printing of Event/Souvenir Booklet; Design and sourcing for Conference Bags; Sourcing of Souvenirs for guests; Help coordination with sponsors, Meeting requirements of sponsors, Sourcing for funding from State Authorities like Sarawak Convention Bureau (SCB), Setting booth layout and getting booth contractor; Tagging payment from Government LPOs; Keeping track of payment by Sponsors; Following up on Advertisement by Sponsors; Coordination with Event Facilitators/Event Managers; Onsite coordination with all stakeholders for 500 delegates; Liaising with Event Facilitators/Tour Agent for transportation of speakers during Event Actual; Coordination with the Entertainers/Dancers for the Gala Dinner, among others.

For the SIOG event in particular, the Department of Radiotherapy, Oncology and Palliative Care (DRO), Hospital Umum Sarawak - Kuching had a series of Radiotalks and Newspaper Publications as ancillary event-highlights before the Event Actual. The Radiotalks were on every Friday afternoon with Red FM, and the 'Cancer Awareness Saves Lives' articles were published every fortnightly in The Borneo Post. Being the Secretary of the Event, I had the opportunity to coordinate with the various RTM/Press personnel to ensure timely publication and talk-shows. As the Ceremony was graced by the State Minister of Environment & Public Health, various guests of honour were invited to the Opening Ceremony, including the Director of Health (Sarawak), The Hospital Director, The President and The Executive Director of SIOG.

Titanium Management Sdn Bhd: Aug 2008 - Aug 2009

Key role: Personal Assistant to the MD and Business Development Executive

Our Managing Director gave us the task of getting the new Corporate Office ready in 4 months! In a team of four comprising of a Project Manager, his assistant, a Quantity Surveyor and I, we did the Interior Design planning with the consultant architect and ID professionals until the completion from Dec'08 to Apr'09. I was in-charged of sourcing and negotiating for furniture, air-condition ducting, fire shutter doors, security cameras (CCTV), time management systems, IT cabling and network system - including IT security and WiFi, carpets and blinds, toilet wares, decorative stickers, car park barrier gates, tempered glasses and fixtures and fittings. In short, my job was to obtain quotations and get the stakeholders to have the adjustments thrashed out on site while maintaining the cost within a budget.

As the corporate building was ready for tenancy, I also took charge of its office space for rent. This job is pretty interesting as I was lucky to be involved with the Multimedia Super Corridor (MSC) expansion plan for East Malaysia. I had the opportunity to meet up with representatives from MDeC - Multimedia Development Corporation Sdn Bhd and its consultants. However, at the time of my departure the expansion plan had not materialized. Anyway, it was this experience that I discovered my love and interest in ICT and E-Learning. Since then, I have made up my mind to pursue ICT learning.

The other area of my expertise was to do with GIS - Geographical Information System. I developed the use of Google Earth Pro in managing the Land Banks within my corporation. As a construction entity, land management is an integral part of its daily activities. Hence, my job on land management, both technical and legal - Land Code requirements, constituted the most important part of my job. It was an eye opener to follow the process of land identification, necessary surveys, the early stages of planning followed by detailed planning with the Town Planners and Architects which eventually yield the final development plans and subsequent submission to the State Planning Authority for approval.

My other responsibilities included drafting my MD’s business correspondence and upon his request, translated documents from Bahasa Malaysia to English Language. It was both fun and challenging to attend meetings and draft minutes of meeting. Although this involved a lot of revisions and amendments, it was part of the ICSA requirement. Moreover, it improved my writing skill!

In the company, I was the most computer savvy person and thus most of the computer issues which needed trouble shooting came to me naturally. All in all, I was quite a "jack of all trade" around the office! That is how I developed my TOM's 3 Key Rules – the 3Ms :

1. Manner 礼貌
2. Motive 理由
3. Manage 管理

I worked well with my colleague, and my MD gave me a significant pay rise (30%) within the probation period (at 4th month during the 6 months period). This, he said he has never given to anyone before! This one year had seen many events that shaped my thinking.

The way I managed things also changed as I see how to get across to different stakeholders - the contractors, consultants, government officials, the public and parties representing government bodies, suppliers, colleague of different agenda and background, difficult people - accountants, ego and sick personalities, and people who only promise but never deliver...

Roche (M) Sdn Bhd: Aug 1993 - Aug 2008; Aug 2009 - Now

Product Specialist - Product manager – PS - Sr PS – PIR, PIE, Senior PIE

My work experience for the past 24 years in Roche started with Rocephin, Dormicum, Madopar, Lexotan, Tilcotil etc, and in recent years, has been mostly in oncology CCU. I had started in 2001/2 in the Cancer Business. In the early days, it was Xeloda, Neupogen, Roferon-A, and later MabThera, Herceptin and Kytril. I started promoting Herceptin, MabThera, Avastin and Tarceva at launch!

I have been taking care of Roche Oncology businesses in this region under the Cancer Care Unit since its inception around 2001. I have achieved a 5 folds growth in the East Malaysia biotech-oncology business from RM0.5 million to RM2.8 million over a span of 4 years. This was through increase in user-base, introduction of new products and volume usage in the oncology centres. I was among the very few who won the Merit Award in the company.

In 3 years, I have made Kytril the anti-emetic of choice in all hospitals in East Malaysia. I am labeled as “Kytril King” and “Xeloda King” in our National Sales Meeting end of 2005. In 8 months that year, the sales had touched RM3 million. Being the only person in East Malaysia for this business unit (4 years), I contributed to high productivity in sales and profitability. I was able to cut cost as I am technically sound to handle all products which normally require two to three persons.

Furthermore, I am also meticulous in paper work and enjoyed reputation for best paper work done in the company. My bosses had never had any problem with me and I have worked with more than 10 bosses in 13 years.

In the midst of busy work, I wrote articles and published website, self-studied for 3 degrees. I have contributed opinion in MAICSA publication – The Chartered Secretaries Malaysia, entitled “Chicken or Egg – Repackaging ICSA” in 2004 and recently won a tagline contest with “Good Governance at all times” worth RM300.
